About this policy
Sovereign Systems Labs ("we", "us", "our") is an Australian business that designs, builds and secures artificial intelligence systems and conducts research. This policy explains how we handle personal information when you visit sovereignsystemslabs.com, contact us, subscribe to our newsletter or work with us. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
- Enquiry details. When you use our contact form or email us: your name, work email address, organisation, role, the area you are interested in, optional timeline and budget information, and anything you choose to tell us.
- Newsletter details. When you subscribe to The Sovereign Brief: your email address, the page you subscribed from, the date and your approximate country.
- Business relationship details. When we work with you or your organisation: business contact details, correspondence, meeting notes and the information needed to deliver and invoice our services.
- Technical and security information. Our hosting and security provider processes technical information such as your IP address, browser type and request details to deliver the site, protect it from attacks and filter automated spam.
- Aggregated analytics. We use cookieless website analytics that report aggregate information, such as page views and referring sites. They do not identify you or track you across other websites.
The AI readiness check runs entirely in your browser. Your answers are not sent to us unless you choose to contact us. We do not ask for sensitive information through this website; please do not include it in your enquiry.
How we use personal information
We use personal information to respond to enquiries, prepare proposals, deliver and improve our services, send the newsletter you asked for, manage our business relationships, keep our website and systems secure, and meet our legal obligations. We do not sell personal information.
Newsletter and direct marketing
We only send marketing emails where you have agreed to receive them or where the law allows. Every newsletter identifies us and includes a one-click unsubscribe link. Unsubscribing takes effect immediately.
Cookies
This website does not use advertising or tracking cookies. Our forms use Cloudflare Turnstile, a security check that may use strictly necessary technologies to tell people and bots apart.
Where we store information
Enquiries and newsletter subscriptions are stored in a database operated by Cloudflare, with its primary location in the Oceania region, and are delivered to our business inbox by email.
Who we share information with
We share personal information only with service providers that help us operate our business, and only as needed for that purpose:
- website hosting, security, database and email routing (Cloudflare)
- email delivery (Resend)
- email, productivity and document storage providers
- professional advisers, such as accountants and lawyers
- specialists engaged to work on a client engagement, under confidentiality obligations
We may also disclose information where the law requires or authorises it.
Overseas disclosure
Some of our service providers store or process information outside Australia, including in the United States and Japan, and in other countries where they operate infrastructure. We take reasonable steps to ensure these providers protect personal information in a way that is consistent with the Australian Privacy Principles.
Automated decision-making
We do not make decisions that significantly affect individuals using only automated means. Our forms use an automated security check to filter out bots. It does not make decisions about you beyond whether a submission appears to come from a person.
Security and retention
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure, including access controls, multi-factor authentication and encryption. We keep enquiry records for up to two years unless they become part of an engagement, keep newsletter records while you are subscribed and for a short period after you unsubscribe, and keep business records for as long as the law requires. When we no longer need information, we securely delete or de-identify it.
Access and correction
You can ask to access or correct the personal information we hold about you by emailing privacy@sovereignsystemslabs.com. We respond within 30 days. If we cannot give you access, we will explain why.
Complaints
If you have a concern about how we have handled your personal information, email privacy@sovereignsystemslabs.com. We will acknowledge your complaint promptly and aim to resolve it within 30 days. If you are not satisfied with our response, you may be able to complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We may update this policy from time to time. The current version is always on this page, with its effective date.
